AI Assessment Proposal: AusCoast Builders

A costed plan and roadmap to a single pane of glass for your whole business.

Overview

What this is

For $3,000 AUD, you get a clear, costed plan and roadmap for connecting your systems into a single pane of glass: one place where your desktop and site teams can run the whole business, with every system talking to every other. It is built from four to five staff interviews and a hands-on review of your systems.

The assessment is delivered by the Tactus Intelligence team in two parts that run one after the other. Dan McBride leads Part A, which looks at how your people actually work. Duncan Mitchell leads Part B, which looks at how your systems, data and documented procedures support that work. Together they produce one written report with a plan and roadmap to a single pane of glass.

This assessment does not commit AusCoast to any build. Any build work that follows is scoped and quoted separately.

Current state

Where AusCoast is today

AusCoast has already done the hard part of documenting how it works, which makes this assessment faster and the results more reliable. What we heard from you:
  • The team has been restructured into separate desktop (admin and customer communication) and site (technical) roles, and has grown quickly.
  • Procedures are written up in Trainual, but by five different people, so the style and language vary from module to module.
  • Prime holds each job as a checklist of stages, each owned by a desktop or site role and linked to the matching Trainual module.
  • New supervisors need to become productive quickly, and the training and checklists are the way to get them there.
  • Phone calls are recorded and transcribed, but the transcripts are not linked to the jobs they relate to.
  • Prime, Trainual and the call system do not talk to each other, so information has to be moved between them by hand and nobody sees the whole picture in one place.
  • Who should see what across these systems is already a live question for AusCoast, and it is simpler to manage when everything is connected in one place.

The assessment tests these observations against what your people and systems actually do day to day.

Scope

What we will assess

Part A

People and process interviews (led by Dan McBride)

Four to five interviews, scheduled at AusCoast's discretion, covering the owner and a spread of desktop and site roles, including at least one site technician. Each is a day-in-the-life conversation of about 60 to 90 minutes.
  • What each person opens first, which systems they use, and what they track by hand.
  • How a job moves from the desktop team to site and back, and where handovers slow down.
  • How closely the documented Trainual procedures match what really happens.
  • What happens when a job is finished and a customer then raises a problem.
  • Where time goes on repetitive work, and what each person would automate first.
  • What a new supervisor needs to know in their first two weeks, and how they learn it today.

Part B

Systems and digital review (led by Duncan Mitchell)

After the first interviews, Duncan reviews how your systems support the way the team works, and how they could be connected into one place. He works either on site with a laptop or through read-only accounts you set up, whichever AusCoast prefers.
  • Prime: how jobs, customers and stage checklists are structured, and how consistently they are filled in.
  • Trainual: how the procedures are written and organised, how many exist, and where the five writing styles cause confusion.
  • Call system: how call recordings and transcripts could be tied back to the jobs they belong to.
  • Other systems: any finance or operational tools the interviews show the team relies on.
  • Priority processes: rather than reviewing every procedure, we focus on the top five or so where automation would pay back fastest.
  • Single pane of glass: how Prime, Trainual, the call system and your other tools could connect to Tactus, so the team can run everything from one place and see how closely jobs follow the Trainual procedures.

Deliverable

What you receive

A written report of roughly 20 to 25 pages, with a plan and roadmap you can act on straight away. It combines what the interviews showed with what the systems review found, and it stands on its own, so you are free to act on it with Tactus or anyone else.
  1. 1

    Current-state picture

How work flows between desktop and site, which systems are involved at each step, and where information gets stuck.

  2. 2

    Findings

The main time losses, handover gaps and data-quality issues, including how consistent the Trainual procedures are.

  3. 3

    Quick wins

The low-effort, high-value improvements, ranked by value against effort.

  4. 4

    Plan and roadmap

The order we recommend connecting your systems to Tactus, what each phase delivers and what it depends on, ending with a single pane of glass for the whole business.

  5. 5

    Costed phase one

Once you have the report, we scope and price the first phase of the roadmap. Where we could not see inside a system, the roadmap says so and marks what a closer look would confirm.

Timing

Timeline

Interviews begin the week of 9 November 2026, once you are back, and the report follows within 10 business days of the last interview.
1

Kick-off

NDA signed, first payment received, interview times agreed with you.

2

Part A

Four to five interviews, spread over the week at times that suit the team.

3

Part B

The systems review led by Duncan, starting once the first interviews show where to look, and finishing shortly after the last one.

4

Report and walkthrough

The written report, then a walkthrough with you to discuss the roadmap and the recommended first phase.

Access

What we need from you

The assessment runs smoothly if we have these four things in place before the first interview.

A signed NDA

Sent by you and covering Tactus Intelligence Pty Ltd and everyone working on the assessment, before any system access is given.

Interview time

Four to five people for about 60 to 90 minutes each, chosen with you across the desktop and site roles.

Read-only access

Read-only access to Prime, Trainual and the call system, or time for Duncan to work on site with a laptop. Either works.

One point of contact

Most likely you, to book interviews and answer questions along the way.

We take the least access that does the job. We never change anything in your live systems, we work from copies where we can, and we confirm in writing when access has been closed at the end of the engagement.

Investment

Investment and terms

The full assessment, Part A and Part B, is $3,000 AUD excluding GST, paid in two equal instalments.
InstalmentWhenAmount
First instalmentOn engagement, before interviews begin$1,500 (excl. GST)
Second instalmentOn delivery of the written report$1,500 (excl. GST)
